Data request page customization
The unsubscribe page of your email surveys includes a data request link that lets respondents ask to access or delete the personal data you process through Retently.
Clicking it opens a set of dedicated pages, and every text respondents see on them can now be customized to match your voice and language. Like the unsubscribe page, these pages inherit your template's branding: the logo, the top line color, and the background colors configured on the Main rating question page.
Note: these pages are part of the email survey flow. To learn how the request process itself works and what happens after a respondent submits one, see How can respondents request to access, edit or delete their personal data.
Where to find them
Open your email template in the editor and go to the Unsubscribe section.
In the sidebar you will find two groups:
Unsubscribe: the Unsubscribe page and the Unsubscribe confirmation message.
Data requests: the Data request page, the Access confirmation, and the Deletion confirmation.
The Data request page
This is the page respondents land on after clicking the data request link. You can edit each block by clicking on it, just like any other text in the editor:
Page title, "Manage your personal data" by default.
The access request link, "Show me the data you have about me".
The deletion request link, "Delete my personal data".
The return link, "Back to unsubscribe options".
This link can be reworded or translated, but it cannot be removed, so respondents always have a way back to the unsubscribe page.
The Access confirmation
Respondents see this message right after asking to access their data.
You can edit:
The confirmation message. By default it explains that the request was sent and that they will be contacted at the email address the survey was delivered to.
The Unsubscribe link shown under the message. An access request does not change the respondent's subscription, so this link lets them opt out of future surveys in one step if they also want that. If you prefer not to show the Unsubscribe link, hover over it and click the red X icon, or deselect the Unsubscribe link checkbox in the Layout settings section of the sidebar. You can re-activate it from the same checkbox at any time.
The Deletion confirmation
Respondents see this message after confirming a deletion request. You can edit the message freely, but keep one thing in mind: deletion requests always unsubscribe the respondent from your surveys automatically, so the default text mentions it and your custom text should too.
Removing the data request option
If you do not want to offer the data request link on your unsubscribe page, you can remove it in two ways:
hover over the link on the Unsubscribe page tab and click the red X icon, or
deselect the Data request option checkbox in the Layout settings section of the sidebar.
A confirmation dialog will remind you what this means: respondents will lose the link to request access to or deletion of their data, and you remain responsible for offering them another way to exercise these rights, for example a contact listed in your privacy policy. You can bring the option back from the same checkbox at any time.
Good to know
Access requests never unsubscribe the respondent; deletion requests always do, before your team is even notified.
Request notifications are sent to your appointed Data Protection Officer(s), or to the Account Owner if no DPO is appointed. The email states whether the respondent asked for access or deletion.
Contacts who unsubscribed themselves cannot be resubscribed from the dashboard, in line with anti-spam regulations.
All texts are saved per template, so different templates and languages can carry different wording.
