Transactional surveys are sent when an external event is triggered. In simpler words, when something happens outside of Retently, a survey is triggered.
Rentvine is the property management platform many firms run their leases and properties in. With this integration, a lease event in Rentvine triggers a transactional survey in Retently, so you can ask residents for feedback at the moments that matter, such as a move-in, a move-out or a renewal.
Rentvine sends the event to a Retently webhook link that is unique to your campaign. There is nothing to install and no credentials to exchange: you copy a link from Retently and paste it into Rentvine once.
How it works
You create a transactional survey campaign in Retently and set its trigger to "Rentvine".
Retently generates a webhook link that is unique to that campaign.
You add that link as a webhook destination in your Rentvine account and select the lease events you want to send to Retently.
Each time Rentvine sends one of those events, Retently creates or updates the contact and sends them the survey from that campaign, according to the campaign's own settings.
Rentvine is available on plans that include inbound webhook integrations. If you do not see it in the trigger list, your current plan does not include it.
Set up the campaign
To get started, create the survey campaign:
Go to the Campaigns page and click the "+ Create new campaign" button;
Choose a survey metric for this campaign (e.g., NPS, CSAT, CES);
Choose your survey channel: "Email" or "In-app";
Choose "Transactional" as the campaign type. Only transactional campaigns can be triggered by an external event.
You will be redirected to the campaign's edit mode, where you can configure the campaign as you would any other transactional campaign: assign a survey template, review the audience, and set up reminders, alerts, autoreplies, analytics, and webhooks. These options work exactly the same way regardless of which trigger you use.
Choose the Rentvine trigger
The part that matters for this setup is the "Trigger" section of the campaign.
In the "Survey trigger method" block, open the "Survey triggered via" menu and select "Rentvine". A webhook link is generated automatically and displayed right below, along with a "Copy link" option. Copy it, you will need it in the next step.
đ IMPORTANT: The webhook link is unique to this campaign. A webhook can be assigned to only one campaign, and a campaign can have only one webhook assigned.
Add the webhook in Rentvine
In your Rentvine account, open Settings and go to the Webhooks section;
Add a new webhook and paste the Retently webhook link as the destination URL;
Select the lease events you want to send to Retently;
Save the webhook.
Choosing the right events is the most important part of this setup. Every event you select will trigger this campaign's survey, so select only the lease events you actually want to survey on.
You only ever need to do this once. The link stays the same, so there is nothing to update in Rentvine later.
Send a test survey
After adding the webhook in Rentvine, make sure your campaign is active, switched ON in Retently.
Then, in your Rentvine account, make a change to a lease that matches one of the events you selected. If the test runs successfully, the contact will be created as a new contact in Retently, or updated if you already have their record, and the survey will be sent according to your campaign's Trigger settings. You can see it on the Outbox page.
From this point on the campaign behaves like any other transactional campaign. Reminders, alerts, autoreplies and throttling all follow the campaign's own settings.
