To ensure accurate feedback classification, our system limits the number of topics that can be sent to the AI to a maximum of 100. Retently will not let you enable AI classification on more than 100 topics at once, so if you are already close to the limit and want to add a new topic, turn the AI option off for a few topics you no longer use first.
If a list does end up above the limit, the system keeps the topics that appear on the most feedback and leaves out the least used ones. A topic that is used rarely but matters to you can be skipped that way, which is why we recommend maintaining an organized topics list rather than selecting everything for AI use.
Actions to Optimize Your Topics List
Merge Topics: If you have multiple topics with similar or identical meanings, consider merging them. To do this, select the topics you want to combine, open the menu in the top-right corner, and choose the "Merge topics" option. This will consolidate the selected topics into one.
Delete Unnecessary Topics: Review your topics list for redundancy. If you find topics that are rarely used or unnecessary, you can delete them to streamline your list. Keep in mind that deleting a topic also removes it from every response it had already been applied to, so your past reports will change. If you only want to stop a topic being used going forward, turn its AI option off instead of deleting it.
Create New Topics: If you identify a missing topic that should be included, you can create it. When doing so, be sure to toggle ON the AI option to ensure the new topic is included in feedback classification.
Finalizing Your Topics List
Once you've refined your topics list, ensure that only the necessary topics are selected for AI analysis. You can add or remove topics individually or perform this action in bulk to optimize your classification accuracy.
Turning a topic off only affects feedback received from that point on. The topic stays on every response it has already been assigned to, so your existing responses and reports are not altered by switching the AI option off.
