The Campaigns Page

How to read and use the Campaigns page: the campaign card, its details, filters, folders, and the two view modes.

The Campaigns page lists every survey campaign in your account. Each campaign is shown as a card that carries its configuration and its performance on the same line, so you can tell what a campaign does, whether it is running, and how it is performing without opening it.

The page header

The title reads Campaigns (X of Y), where X is the total number of campaigns in your account and Y is the campaign limit on your plan. This pair is a plan quota, not a result count, so filtering the list does not change it. When a filter is active, the header appends the number of matching campaigns, for example Campaigns (26 of 50) · 4 shown.

The toolbar

From left to right:

  • Selection checkbox: selects every campaign currently visible. The arrow next to it offers "Select all N records".

  • Folder: shown only once you have folders. Filters the list to one folder, or to "Unfiled".

  • Metric: NPS, CSAT, XSAT, CES, 5-STAR, EMOJI, or THUMBS.

  • Channel: Email, Link, In-app, Intercom, Embed, or Button.

  • Type: Regular, Transactional, or Anonymous.

  • All / Active / Inactive: a quick filter on campaign status. "All" simply removes the status filter.

  • Search campaigns: matches on the campaign name.

  • Reset: appears once any filter is applied and clears all of them at once.

Active filters also appear as dismissible chips in a row under the toolbar, and they are written into the page URL, so a filtered view can be bookmarked or shared with a colleague.

On the right side of the toolbar:

  • Manage folders (admins only)

  • Add campaign

  • View switch: Cards view or Rows view

The campaign card

Every card has the same two parts: a header line that is always present, and a details block underneath whose rows depend on the campaign's channel and type.

Header line

  • Channel icon and campaign name. The icon marks the delivery channel (envelope for email, link, chat bubble for in-app, window for embed, cursor for the feedback button, and so on). Hovering a long name reveals it in full.

  • Status dot. Green means the campaign is on, red means it is off.

  • Three configuration chips, always in the same order:

    • Metric (NPS, CSAT, CES, 5-STAR, and so on)

    • Channel (Email, Link, In-app, Intercom, Embed, Button). Transactional email campaigns are shown as Email.

    • Type (Regular, Transactional, Anonymous, or Hybrid). Embed, inline, and feedback button campaigns are Hybrid because they collect both identified and anonymous responses. Intercom campaigns are Regular.

  • Performance chips, behind a thin separator so they read as results rather than settings:

    • Score, labelled with the metric ("NPS Score 50"). The color is a verdict against Retently's published bands: green for a good score, amber for a middling one, red for a poor one. Hovering the chip opens a gauge with the number of responses behind the score and, where available, how the campaign compares with its industry average. The chip is hidden until the campaign has sent something.

    • Sent: all-time surveys delivered, abbreviated (27.7k). A campaign with zero sends still shows "Sent 0", which answers why the other chips are missing.

    • Responded: responses divided by surveys sent. Rates below one percent show as <1%.

  • Last edit and last send, on the right. "Updated 2 years ago" names who last changed the campaign (hover for the exact date and time in your account's timezone); "Last survey 2 hours ago" is the last time the campaign actually sent. Last survey is green when recent, amber once nothing has been sent for over 30 days, and grey when the campaign has never sent.

Details block

The left column describes the survey itself:

  • From: the sender name and address, shown for email campaigns only. The address sits in a blue pill when it is a verified sending address or a connected Google or Microsoft mailbox, and in an amber pill when the campaign is falling back to Retently's default sender because the configured address is not verified. A small provider logo shows which route the campaign actually sends through. If a reply-to address is set that differs from the sender, a reply icon appears next to the pill with that address in its tooltip.

  • Question: the first question of the survey, in plain text. Merge fields appear as small tags rather than raw {{variables}}. The number at the end of the row is the total question count; hover or click it to open the Survey map, a full view of the survey flow.

  • Audience or Trigger: who receives the survey. Which of the two labels appears depends on the channel (see the table below). For regular email campaigns this is a live contact count matching the campaign's audience filters. For transactional campaigns it names the trigger source (Shopify, HubSpot, Zapier, API, and so on), with the last time it fired in the tooltip.

The middle column describes the sending rules:

  • Recurring: how often the same contact is surveyed again, in days, or "Off".

  • Throttle: the minimum gap before the same contact can be surveyed again, used instead of Recurring on transactional, embed, and link campaigns. Hover the value to see whether the rule applies to this campaign only or across every campaign in the account.

  • Reminder: how many days after the original send a reminder goes out, or "Off".

  • Daily limit: the cap on surveys this campaign may send per day, or "Off".

The right column, when the campaign has one:

  • Delay: how long after the trigger event the survey is sent (transactional campaigns).

  • First in: how long a newly added contact waits before their first survey (regular campaigns). "Immediately" means no wait.

  • Sampling: the percentage of eligible contacts actually surveyed. It appears only when sampling is switched on, and turns amber at 100 percent, which means the setting is on but is not limiting anything.

Card actions

The toggle at the right edge turns the campaign on and off in place. Retently asks for confirmation first if the campaign has surveys already queued, and tells you which of them will be dropped and which will still go out. A campaign cannot be activated before your email address is verified or before a survey template is assigned to it.

The ... menu holds Manage campaign, Open report, Move to folder, Clone, and Delete. Clicking anywhere else on the card opens the campaign for editing.

Cards view and Rows view

The two buttons at the far right of the toolbar switch between them.

  • Cards is the default and shows everything described above.

  • Rows keeps the header line only: name, status, the three configuration chips, the performance chips, and the last send. The details block and the "Updated by" line are dropped, so more campaigns fit on screen at once. It is the better view for accounts with many campaigns.

Your choice is remembered between visits.

Folders

Campaigns can be grouped into folders, each with its own name, color, and icon. Folders appear as collapsible sections on the page, with a count of the campaigns inside and how many of them are active. A campaign that is not in a folder appears under Unfiled.

Move a campaign with Move to folder in its ... menu, or select several campaigns and move them together. Only account admins can create, rename, and delete folders.

Working with several campaigns at once

Select campaigns using the checkbox that appears on the left of each card on hover, or use the toolbar checkbox to select everything currently visible. Once anything is selected, the right side of the toolbar changes to show the number selected, Move to folder, and Delete.

Campaigns with queued surveys cannot be deleted in bulk and must be deleted one at a time, so that you see what happens to the queue in each case.

A note on roles

  • Admins see everything, including folder management.

  • Users can create, edit, clone, and delete campaigns, and can move them between existing folders, but cannot create or manage folders.

  • Analysts can browse and filter the page but do not see the Add campaign button.
