Team members page and managing users

View, add and manage users that have access to your account.

On the Team members page, you will see a list of invited colleagues who have access to your Retently account.

A user record includes the following information:

  • Avatar

  • Full name

  • Title and role in your company

  • Last login date

  • Access level

    • Owner (only one user can have this level. Learn how to assign another user as the account owner).

    • Admin: Has full access. Can manage contacts, feedback, survey campaigns, users, billing, and subscription).

    • User: Can manage contacts, feedback, and survey campaigns, and invite new users with "User" role.

    • Analyst: Has read-only access. Learn more.

Invite a new user

To invite a new user, click the "+ Invite new user" button.

In the popup, type the new user's email address and assign them a role (Admin or User).

NOTE: Only admins can choose one of the three roles (Admin, User, Analyst). Users with the role "User" can invite a team member and assign them only the "User" role.

The new user will receive an email notification asking them to complete their profile setup. To do so, the invited user will have to click the "Set your password" button from the email message:

Note: The invitation link is available for 30 days. If the user does not activate their account within 30 days, you can resend the link from the Team members page in your Retently account by clicking the "Resend invite" button.

Resend an invitation to a user

If needed, for example, when 30 days have passed, and the invitation has expired, you can resend the invitation email by clicking "Resend invitation" next to the invited user’s name on the Team members page, and the user will receive another email with a link to activate their account.

In rare cases, the invited user may not receive the invitation email. This typically occurs when the user’s email client has strict filtering rules that block messages containing invitation links or route them to the Spam folder. In this situation, you can manually copy the invitation URL by clicking the icon next to the "Resend invite" button and send it directly to the user. This action requires an Admin role. The user can activate their account using the provided link.

Edit a user's details

Only users with the "Admin" role can edit the details of other users. To do so, access the actions menu in a user's record and choose the "Edit" option.

In the next popup, you will be able to update the selected user's details and assign them the Data Protection Officer role.

Delete a user

Only admins can delete other users from the account. To do so, access the actions menu in a user's record and choose the "Delete" option. The user will be deleted immediately and they will receive a notification informing them that they've been removed from your company's Retently account.

Data Protection Officer

The Data Protection Officer receives notifications about survey respondents requesting data access. This user can manage contacts, feedback, and survey campaigns and it can be assigned to both admins and users.

In each workspace, there has to be at least one DPO (Data Protection Officer) and usually, it is assigned automatically to the workspace owner. At any point in time, you can assign it to multiple other team members (or even all the account users).

To assign the DPO role just click on the meatballs menu and click the "Assign as DPO" button as shown below.

To unassign this role, you will have to follow the same process, click on the meatballs menu and click "Unassign as DPO"
