Transactional surveys (email or in-app) are sent when an external event is triggered. In other words, a survey is triggered when something happens in a HubSpot.

In this tutorial, we will guide you through configuring a survey campaign that is triggered by HubSpot events.

Before you start, make sure that your HubSpot subscription includes the following features:

  1. Workflows: This is where you'll build the event that triggers the survey.

  2. Webhooks: This action is necessary to send contact information to Retently.

If you lack either of these features, you won't be able to implement this solution.

Steps to configure the campaign in Retently

  1. Navigate to the Campaigns page in Retently and create a new email or in-app transactional campaign.

  2. Assign a survey template and modify your campaign settings as necessary. Take your time to review and adjust each section.

  3. In the Trigger section of your campaign, select the "Generic Webhook" option.

  4. Retently will generate a webhook URL. Copy this URL and keep it handy.

  5. Activate your campaign to enable survey distribution.

Steps to configure the HubSpot workflow

  1. In HubSpot, create a new workflow or edit an existing one (Automation > Workflows). You can also follow the official HubSpot tutorial on creating workflows).

  2. In the workflow builder, set up the trigger or event that HubSpot will track to trigger the Retently survey. For example, the event could be when a contact is updated to meet specific criteria.

  3. After setting up the trigger, add a new action in the workflow.

  4. Select "Go to action" and choose "Data ops."

  5. Click on the "Send a webhook" action.

  6. Set the method to POST.

  7. Paste the webhook URL you copied from Retently into the webhook URL field.

  8. Choose which HubSpot information to send to Retently. You can add multiple default properties (such as the ones listed below) or you can add custom properties as described in this tutorial.

  9. Test and Publish the Workflow

From now on, whenever a contact matches the criteria set in HubSpot, they will receive the survey via Retently.
